Tenant and domain setup

A new Microsoft 365 tenant is created, the company’s custom domain is verified through DNS, and email routing records are configured so Exchange Online, Microsoft Teams and all Microsoft 365 applications resolve correctly from the start.

User accounts and licences

All staff user accounts are created in the Microsoft 365 admin centre at admin.microsoft.com. Microsoft 365 or Office 365 licences are assigned to each user, and every person who needs to join the organisation is ready to sign in on day one.

Entra ID and security baseline

MFA is enforced for all users from the first sign-in. Conditional Access policies are applied through the Entra admin centre at entra.microsoft.com. Admin roles are scoped correctly, and a Microsoft Secure Score baseline is established — advanced security settings configured, not left at defaults.

Microsoft Defender installation

Microsoft Defender for Business is activated and configured across all managed devices — endpoint protection installed, anti-phishing policies applied, safe links and attachment scanning active. The installation runs as part of the setup, not as an afterthought.

Exchange Online and Outlook setup

Email routing is configured through Exchange Online. Outlook is installed and set up on every desktop and mobile device — email, contacts, calendar and signatures all connected. App deployment

Office app installation across every device

Microsoft 365 allows each user to install the Office apps on up to five devices — desktops, laptops, tablets and mobile devices. Apps are also available via browser at office.com without installation — useful for shared or temporary machines.

Windows PC

Office apps download and install from the Microsoft 365 portal. Existing older versions of Microsoft Office software are removed and replaced during the installation process.

Office apps are available as a direct download and install for macOS — Word, Excel, PowerPoint, Outlook and OneNote as native Mac desktop programs.

Android

Office apps for Android download from the Google Play Store. Staff sign in with their Microsoft 365 account and the apps connect to Exchange, OneDrive and Teams automatically.

iOS

iPhone and iPad users install Office apps from the App Store — the same sign-in screen, the same Office apps, connected to the same Microsoft 365 account and managed via Intune.

Email & collaboration

Outlook, Teams and file sharing — configured together

Exchange Online powers business email in Microsoft 365 and Office 365 — email hosted in Microsoft’s cloud, accessed via Outlook on desktop, mobile or browser. PIP’s Microsoft 365 setup installs Outlook on every device, connects email, contacts and calendar across all platforms, and applies company signatures.

Microsoft Teams is set up alongside email as the primary collaboration tool — chat, video conferencing, file sharing and channel-based communication, all installed and configured during the setup process. SharePoint provides shared document libraries for team file storage. OneDrive provides personal cloud storage — each user’s files synced across their devices and accessible from any browser.

If the business is migrating from an existing email system — Exchange on-premises, Google Workspace or another host — PIP migrates all historical email, contacts and calendar data to Exchange Online as part of the Microsoft 365 setup engagement.
